ARCHIVING DATA IN SALESFORCE

Data archiving is a fundamental requirement for organizations using Salesforce. Effective archival of data can manage data volume, reduce storage costs, and improve system performance. Additionally, it can de-clutter the cloud for improved security. With these goals in mind, there are several features and options available to enterprises in Salesforce that should be considered for an optimal archiving solution.

Salesforce is a powerful platform for managing customer relationship databases, but it’s not without its limitations. Data volume is a primary factor. Unless monitored and managed, Salesforce can quickly become overwhelmed, leading to reduced performance, increased storage costs, and increased security risk as data becomes cluttered. Archiving data is an effective way to combat these issues.

Salesforce provides multiple options to archive customer and business information in a secure, compliant manner. The most common approach is to use the Field History Tracking feature. This feature allows administrators to track changed fields within an object, thereby making it easier to identify and access data if needed. The feature can also be used to track the history of specific fields in an org, allowing administrators to get an audit of what data changes were made in the past. Additionally, Audit Trail and Content Delivery can provide an easy way to audit data within an org, providing up-to-date information on changes and records access.

For organizations with high numbers of inactive records, Salesforce’s Data Archiving feature is an effective way to reduce storage costs without losing access to historical data. This feature allows administrators to move inactive records from their main Salesforce instance to an external system, reducing the data load on Salesforce and freeing up resources. Once archived, data can easily be retrieved at any time and administrators have the ability to review and update the data as needed.

Finally, Salesforce also offers other features to manage data archiving, including Content Delivery and Duplicate Management. Content Delivery allows administrators to manage unstructured data, such as files, images, and videos. This can be used to store large files off of Salesforce and free up storage space. Duplicate Management helps reduce redundant data by identifying and merging duplicate records. This can be a helpful tool for streamlining an org’s data and reduces the chance of conflicting data within the system.

To effectively archive data with Salesforce administrators need to take a multi-faceted approach. Depending on the organizational requirements, various features and options can be used in tandem to maximize performance while minimizing storage and security costs. Furthermore, the use of a third-party Salesforce release management, Salesforce data backup and recovery and Salesforce security solutions can provide an additional layer of security when archiving data, ensuring all data remains secure and compliant. By utilizing the features and options available, organizations can confidently optimize their data archiving strategies in Salesforce.
